A VFR flight plan exists for one purpose - search and rescue - and takes ten minutes to file, forty-five seconds to close, and could save your life if something goes wrong en route.

A VFR flight plan is not an ATC clearance, not a tracking service, and not a weather check. It exists for exactly one purpose: if you don’t arrive and you don’t call to say why, someone knows where to look for you and when to start looking. Filing takes about ten minutes. Closing takes forty-five seconds. And if you ever need it, those ten minutes are the most important you spent before the flight.

What Is a VFR Flight Plan - and What Is It Not?

A common misconception, even among experienced pilots: filing a VFR flight plan does not give you any airspace permission. ATC is not tracking you when you’re operating VFR without flight following. No radar scope has your tail number on it.

What the flight plan does is put your route, your timing, and your emergency contact into a system that activates when you don’t show up. That’s the entire job. General aviation accidents happen in terrain and conditions where nobody knows where to look. Whether a downed pilot is found in time often comes down to whether anyone knew where to look - and when to start.

How Do You File a VFR Flight Plan?

File before departure through ForeFlight, Garmin Pilot, the Leidos Flight Service website, or by calling Leidos directly. The form asks for:

  • Aircraft tail number
  • Aircraft type and equipment suffix
  • True airspeed (not indicated - know how to derive this from the POH)
  • Departure point, destination, and planned route
  • Estimated time en route
  • Fuel on board in hours and minutes (total usable endurance, not gallons)
  • Number of souls on board
  • Emergency contact

Don’t treat the emergency contact field as an afterthought. That is the person who gets a call if you don’t arrive.

How Does the Search and Rescue Clock Work?

When you activate the flight plan - either through the app before taxi or by calling Leidos in the air on 122.2 - the clock starts running from your proposed departure time.

Flight Service takes your estimated time of arrival and adds thirty minutes. If they haven’t heard from you by then, they begin a communications search: guard frequency calls, calls to the destination airport, calls to your emergency contact. If that produces nothing, they contact the Air Route Traffic Control Center and issue an Alert Notice. From there, the mission escalates to an active search.

A Civil Air Patrol activation costs tens of thousands of dollars and pulls volunteer crews away from their families and jobs. It begins because someone landed, walked to the car, and drove away without making one call.

How Do You Close a VFR Flight Plan?

Call Leidos Flight Service directly. You can also close through ForeFlight by tapping the active flight plan and selecting close. Some FBOs have the flight service number posted at the front desk. The call itself takes about forty-five seconds: give them your tail number, confirm you’re on the ground safely, and you’re done.

The most reliable way to make this happen every time: add the closing call to your shutdown checklist as a line item, with the same weight as mixture, avionics master, and master switch. When the habit lives inside the shutdown ritual, it doesn’t get forgotten.

Why Do Experienced Pilots Stop Filing?

The reasons are consistent and familiar:

  • “I have GPS and ForeFlight. I can see myself on the map.”
  • “I’m VFR the whole way. Clear and a million.”
  • “I know this route. I’ve done it twenty times.”

Every one of those statements is usually true. Most flights go as planned. And because the habit of not filing gets validated ninety-nine times in a row, the pilot concludes the habit is fine.

But none of those arguments address what a flight plan actually protects against. A VFR flight plan is not protection against bad weather or bad decisions. It’s protection against the possibility that something unexpected happens and nobody knows to look for you for twelve hours.

Your ForeFlight track does not call anyone if you go down. Your GPS moving map does not activate Civil Air Patrol. Your ELT helps rescuers zero in once a search is underway - but it does not tell anyone when to start looking. Your flight plan does that.

Is a VFR Flight Plan Required?

The FAA does not require a VFR flight plan for most domestic flights. They do strongly recommend it. The Aeronautical Information Manual, Chapter 5, Section 1 makes the case directly: file a VFR flight plan for all cross-country flights.

The logic is not complicated. Pilots who file are found faster than pilots who don’t. That’s not theory - that is search and rescue data accumulated over decades.

What Does the Checkride Require?

The Airman Certification Standards for the private pilot practical test include cross-country flight planning as a required task. Your examiner will ask you to plan a complete cross-country flight - not just a route sketch, but the whole picture: navigation log, weight and balance, weather briefing documentation, fuel calculations, and flight plan filing.

You’ll need to complete the FAA flight plan form and explain the purpose of every field. Not just the obvious ones.

The true airspeed field is one examiners test. Know where to find cruise TAS in the pilot operating handbook for the aircraft you’re flying. Know the difference between indicated and true airspeed and be ready to explain it.

The fuel on board field is expressed in hours and minutes, not gallons. If you’re carrying 40 gallons of usable fuel and your aircraft burns 10 gallons per hour at cruise, you enter 4:00. That number shapes the search area - it tells a search and rescue coordinator the outer boundary of where you could possibly have flown. A wrong number shrinks or expands the search in the wrong direction.

The alternate airport field on a VFR flight plan is informational - it’s not the same requirement as an IFR alternate. Pick a reasonable airport along your route or near your destination where you’d divert in an emergency.

What Is the Full Cross-Country Planning Sequence?

Treat the flight plan not as a separate form at the end, but as the final document that captures everything you’ve already figured out. The sequence:

1. Weather. Get a standard briefing. If you call Leidos, lead with “I’d like a standard weather briefing” and provide your departure point, route, destination, and estimated departure time. Whether briefing by phone or app, pull the actual METARs at departure, destination, and alternates. Check TAFs at your destination. Review AIRMETs covering IFR conditions, turbulence, and icing along the route. Check for active SIGMETs. Pull winds aloft at your planned altitude. Look for PIREPs - the one source in your briefing that comes from someone who was actually up there recently.

2. Route. Mark checkpoints on the sectional. Calculate true course between each point. Apply magnetic variation for magnetic course. Pull winds aloft and calculate wind correction angle and groundspeed segment by segment. Build your navigation log with estimated time en route to each checkpoint and to your destination.

3. NOTAMs. Pull Notices to Air Missions for your departure airport, destination, and airports along the route. Look specifically for Temporary Flight Restrictions. One TFR missed during planning can ground you in the air or put you in violation. Don’t just acknowledge that you checked - read the relevant ones.

4. Fuel. Calculate burn at cruise power. Add time en route. Add required reserves. VFR daytime regulations require enough fuel to reach your destination plus thirty minutes at normal cruise - that’s the regulatory floor. In practice, carry more. Know your bingo number and at what point you’re committed to landing.

5. Weight and balance. Every cross-country. Calculate takeoff weight and confirm you’re within maximum gross. Calculate center of gravity position and confirm it stays within the allowable envelope as fuel burns off. This is a checkride task and a real safety calculation.

6. File the flight plan. By this step, you already know everything on the form. Your route is on the navigation log. Your true airspeed is from the POH. Your ETE is calculated. Your fuel on board is the number you just figured out. This step should take five minutes because you’ve already done the work.

7. Activate when you depart.

8. Fly the plan.

9. Close when you land.

Write that ninth item on your kneeboard if you have to. You land tired and relieved, already thinking about whoever is picking you up. The closing call is the easiest task in the entire sequence - and somehow the one most likely to get dropped.

Should You Also Tell Someone on the Ground?

Yes - and this doesn’t come from any regulation. Before you leave, tell a person your plan: destination, approximate route, expected arrival time, and what to do if they haven’t heard from you by a specific hour. Give them the Leidos Flight Service phone number and your tail number.

That person is a second layer of notification no app or system replaces. If something goes wrong and the official search and rescue process unfolds over hours, someone on the ground who is expecting your call can shorten that timeline significantly. Pilots have done this since the beginning of aviation - not because a regulation required it, but because they understood that being found depends on someone knowing you’re supposed to be somewhere.
